Hi everyone,
First off, CONGRATULATIONS! We are officially 15 weeks and 2 days away from the first day of the conference. The date will approach quickly, so it's important for us to get started as soon as possible.
ATTENDANCE: YOU HAVE TO GO. When you submitted your abstract, you clicked on a box that legally counts as your signature, contractually binding you to attend. If you don't go, you break that contract. Penalty: you will not be able to present at ACSM again. And you will poorly represent our department. So go. Please. Additionally, you are highly encouraged (practically expected) to attend all five days of the conference. If that's not possible, you must be at the conference the day you present. If circumstances (e.g., tragedy) prevent you from attending, you need to notify the ACSM team (Mark, Courtney, Cynthia, and your coauthors) as soon as possible so we can accommodate accordingly. Additionally, if you will not attend the entire conference, let me (Cynthia) know no later than February 12.
REGISTRATION: Do not register until we say so. The HES department may have enough money to cover all of our registration fees, so we may not have to pay out of pocket. Additionally, last year Alexis King (did everything/anything to get us to ACSM 2018) got us a good deal. We're hoping to do the same this year. So NOBODY REGISTER UNTIL I GIVE THE OKAY. PLEASE. We'll register all together. I will keep everyone posted. We should know early next week. Note: ACSM membership and conference registration are two different things. Do the former, not the latter.
FLIGHTS: You will purchase your flight out of your own pocket. If you apply for funding and it is accepted, that money will be reimbursed to you. Right now flights are around $350. Orlando is a pretty popular place during the summer, so I can imagine prices will only rise. If you want to wait for a deal, go ahead. Just make sure you're on it. And don't wait too long. VanNess and Jensen fly out on Southwest flight #883 from Sacramento on May 28. Direct flight to Orlando, departing at 10:55am. VanNess returns on Southwest flight #1105 from Orlando so Sacramento (May 31 at 1:35pm); Jensen returns on Southwest flights #3023 and #5047 (layover in Vegas) on June 1 at 4:55pm.
APPAREL: You will purchase a Pacific ACSM shirt out of your own pocket. Last year the entire Pacific team had matching tops. We looked like a professional, bad ass mafia. This year we're hoping to do the same. With the same tops as last year. The trip can get a little pricey, so we're trying to avoid spending extra money at all costs. ASUOP has approved funding to give reimbursements for shirts. But again, you will first pay out of pocket and then the money will come after. Women have v-necks, men have polos. I am going to contact the last year ACSM-ers to see if anyone is willing to donate their top. Donated shirts will be given on a first come, first served basis. If it's your size. If you're not interested in a donated shirt, expect to pay around $20 for a brand new shirt. If you are interested in buying one off a last year 'ACSM-er', maybe for like $10, please let me know by Monday (2/11). Otherwise, if a shirt is not donated in your size, expect to pay the $20... and eventually be reimbursed by ASUOP.
HOTEL: Dr. VanNess has already booked our hotel. Give him a big big hug next time you see him. If we can't find funding, we will divide the price and pay for the hotel equally. Last year we found funding, but nothing is guaranteed. As of now (without funding), the price should be around $125 for the four nights. Per person and four people to a room. Again, if you apply for funding and it is accepted, that money will be reimbursed to you.
INDIVIDUAL FUNDING THROUGH UOP: You will have to apply for funding through the Office of Research ON YOUR OWN. Don't do it yet. We'll go over how to apply at our first meeting. Also keep in mind not all people are approved. But almost everyone is. You'll just have to put the work in. Again: we do this as a group. So wait for further instruction.
MEETINGS: Meetings will begin soon. I will keep you posted.
Okay, I think that's all for now. I just want to make sure everyone is in the loop and aware of what they have committed to. You're more than welcome to email me at any point if you have any questions.
Also, I realize we are far away from May 28th, but the date will come fast. So let's take care of everything we can now, and save the last couple months solely on poster making. :-)
